This data protection information applies to the websites of the Hoval Group (hereinafter referred to as ‘Hoval’ or ‘we’). 4. What information do we collect from you?

a) General and technical data – server log data

To make your visit to our website as pleasant as possible, general information about the device you are using, your IP address and browser type are collected for technical reasons when you visit our website.

The data collected includes (but is not limited to):

  • Information about the browser type and version used
  • User's operating system,
  • the user's internet service provider
  • the user's IP address
  • the date and time of access
  • websites from which the user's system accesses our website
  • websites that are accessed by the user's system via our website

This is indispensable information that is automatically collected in our legitimate interest in accordance with Art. 6 (1) f) GDPR and stored in server log files. The system needs to store the IP address temporarily to enable the website to be displayed for the user. To do this, the user's IP address must be processed for the duration of the session, for example. The processing is also carried out to ensure the functionality of the website. In addition, the data helps us to optimise the website and to ensure the security of our information technology systems.

This data is not stored together with other personal data of the user. Further storage is possible after anonymisation in accordance with Art. 11 GDPR. In this case, the IP addresses of the users are alienated in such a way that an assignment of the calling client is no longer possible.

The collection of data for the provision of the website and the storage of data in log files is essential for the operation of the website. Consequently, there is no right of objection on the part of the user.

b) Use of our contact forms

It is possible to contact and communicate with us electronically using the e-mail address provided by us or the contact forms provided on our websites. When you use these contact forms, we process not only your contact data but also the content of the message. The provision of the data is necessary for processing and answering your enquiry; if you do not provide the data, we will not be able to answer your enquiry or will only be able to answer it to a limited extent.

The data collected includes all data that you provide when filling out the forms or in the e-mail, such as (not an exhaustive list):

  • reason for enquiry, content of message
  • all other data that you provide

Your data will be deleted after six months at the latest, provided that your enquiry has been conclusively answered and that there are no legal obligations to retain the data.

The processing is carried out on the basis of your consent in accordance with Art. 6 (1) a) GDPR. If you request further information about our offers via the contact form or would like to receive an offer, we will treat your request as a pre-contractual measure in accordance with Art. 6 (1) b) GDPR.

The personal data you provide will be processed and protected in encrypted form. Despite extensive technical and organisational security precautions, data may possibly be lost or intercepted and/or manipulated by unauthorised persons. We take appropriate technical and organisational security measures to prevent this within the system.

The data will be deleted as soon as it is no longer required for the purpose for which it was collected. If the data is used to fulfil a contract or to carry out pre-contractual measures, it will be deleted when there is no longer any legal basis for its storage.

In the event of an objection, the correspondence cannot be continued.

c) Registration

On our website, we offer users the opportunity to register by providing personal data. User registration is required for various services on our website. The data is entered into an input mask and transmitted to us and stored.

This is essentially your contact details and your access data according to the input mask, as well as the user's IP address and the date and time of registration.

The legal basis for the processing of the data is the consent of the user in accordance with Art. 6 (1) a) GDPR. If the registration serves the fulfilment of a contract or the implementation of pre-contractual measures, the legal basis for the processing of the data is Art. 6 (1) b) GDPR.

The data will be deleted as soon as it is no longer required for the purpose for which it was collected or if there is no longer any legal basis for its storage.

The user has the option of deactivating the user account at any time by sending a request to our data protection officer.

The data subject can adjust and change the contact data at any time in the user account.

d) Newsletter distribution

Our website offers you the opportunity to subscribe to a free newsletter. When you register for the newsletter, the data from the input mask is transmitted to us.

When you register for our newsletter, we immediately send an e-mail containing a hyperlink to the e-mail address provided. By clicking on this link, you confirm your newsletter registration (double opt-in procedure).

By registering for the newsletter, you consent to the storage of your e-mail address, including the date of registration, IP address and your contact details. If you revoke your consent by unsubscribing from our newsletter, we will delete you from our newsletter list and delete the data collected for this purpose after four weeks at the latest.

The processing is carried out on the basis of your consent in accordance with Art. 6 (1) a) GDPR. The legal basis for sending the newsletter to existing customers is a legitimate interest on our part in accordance with Art. 6 (1) f) GDPR.

f) Participation in competitions and other events

The data collected includes contact details and, depending on the focus of the competition, photos or similar.

The processing is carried out on the basis of your consent in accordance with Art. 6 (1) a) GDPR.

The data will be deleted as soon as it is no longer required for the purpose for which it was collected or the conditions of participation do not explicitly state other provisions (further use of photos, for example). If you withdraw your consent, we will delete the personal data collected in the context of the competition within four weeks at the latest and you will no longer be considered for the competition.
